AI Document Reading in Mobile App

Law firm staff often need to quickly analyze documents like signed contracts or screenshots of evidence while on the go. Instead of manually typing out information from a file, you can now attach documents directly into your AI chat within the Cogent CRM mobile app. This allows for faster analysis and more accurate answers when working away from your desk.

  1. Navigate to Ask AI in the app's navigation menu and open an existing or new chat.
  2. Tap the paperclip icon in the composer window.
  3. Select a source: Camera, Gallery, Files, or your Media Library.
  4. Wait for the file to upload as a "chip," type your question, and hit send.

Tip: If you do not have a specific question ready, you can send a file on its own; the assistant will automatically analyze it for you.

Apply Prepaid Balances When Recording Payments

Managing client retainers or prepaid balances is easier with the prepaid balance redemption feature. You can now apply a client's prepaid balance directly when recording payments for invoices or subscriptions within Cogent CRM. This ensures that prepaid funds are used first before any additional charges are applied to a saved payment method.

  1. Navigate to Invoices or a Contact record.
  2. Select Record Payment or Charge Now.
  3. Enter the client's prepaid balance code and click Apply before completing the payment.

Tip: When using split payments, the transaction details will clearly show the amount redeemed from the prepaid balance separately from other payment methods.

How-to: Use iMessage in automated workflows

Communication is vital for client engagement and appointment retention. By integrating iMessage into your automated workflows in Cogent CRM, you can move beyond standard SMS to a more interactive messaging experience. This helps ensure that important updates reach clients through the channels they use most frequently, leading to higher response rates.

How-to: Trigger automations from form submissions

Speed is essential when responding to new client inquiries. With the "Form Submitted" workflow trigger, you can automatically initiate a series of actions the moment a potential client submits a form. This allows for immediate follow-ups, instant staff notifications, and streamlined lead management without needing manual setup for every entry.
