Improved SMS Testing

Testing SMS messages to clients is now more intuitive and reliable. Previously, users often encountered errors because they forgot to include country codes, making it difficult to verify if a text would reach a client. Now, Cogent CRM uses a standardized phone input with a country flag picker to ensure your messages are always formatted correctly for international delivery, and error messages have been simplified to "Invalid phone number" to avoid confusion.

How to test an SMS

  1. Open the Send SMS action in your workflow and scroll to the Test Phone Number field.
  2. Click the flag icon to select the correct country or search by name.
  3. Type the phone number in its local format.
  4. Click Send test SMS.

Tip: Always verify the flag icon matches the recipient's country to ensure the test reaches the correct mobile network.

Smarter Calendar Availability

When clients book appointments online, they may see a blank calendar if the date range includes days when your office is closed, such as weekends. To prevent this confusion, Cogent CRM now includes a "Count available days only" feature. This ensures the booking window only counts actual working days, showing clients the next available business days instead of an empty schedule.

How to enable available days counting

  1. Navigate to Calendars and then Calendar Settings, then click edit on the calendar you wish to update.
  2. Find the Date range setting.
  3. Toggle on Count available days only directly below the date range input.
  4. Click Save changes.

Automated Form Scheduling

Managing time-sensitive documents, such as event registration forms or limited-time intake surveys, used to require manual intervention to open and close them. With the new Scheduling feature in Cogent CRM, you can now automate exactly when a form becomes active and when it expires, giving you full control over the client experience without manual management.

How to schedule a form, survey, or quiz

  1. Open your Form, Survey, or Quiz and navigate to its settings.
  2. Enable Schedule visibility.
  3. Configure the opening time by selecting Right away or Pick a date.
  4. Configure the closing time by selecting Never or Pick a date.
  5. Select the appropriate time zone.
  6. Choose whether to show a custom message or redirect visitors to another URL when the form is inactive.

WhatsApp Messaging Visibility

Meta has updated how WhatsApp messaging limits are calculated, moving from individual phone number quotas to a shared limit across your entire business portfolio. This means that one high-volume number can consume the entire daily capacity for all numbers in your portfolio. Cogent CRM now shows this single shared limit accurately to ensure you know exactly how much messaging capacity remains for your firm.

How to view your shared WhatsApp limit

  1. Navigate to WhatsApp Settings within your account.
  2. Locate the messaging limits panel to see the true portfolio-level limit that governs all your numbers.

Note: The individual phone numbers view no longer displays a separate limit column, as the limit is now shared at the portfolio level.

Bulk Workflow Triggers

If you need to run an automation for a large group of existing records—such as a follow-up sequence for clients or a renewal automation for subscriptions—you no longer have to trigger them one by one. Cogent CRM now allows you to trigger workflows for multiple Company or Custom Object records simultaneously directly from the list view.

How to trigger workflows in bulk

  1. Open Companies or a Custom Object.
  2. Select the records you want to process from the list.
  3. Click Trigger Automation.
  4. Select the specific workflow you want to run.
  5. Confirm the action.

You can monitor the progress and review individual results through the Bulk Actions menu.
